Links between elements: what is preserved in the copy

Which links are retained and which are not, depending on whether you copy an entire space or just certain folders, with examples and tips.

Key idea

Klonup maintains links (references between elements) only if both elements are within what you are copying. If a link points to something outside your selection, it will not be preserved.


Most common cases

  • You copy the entire space (≤100)
    Links between elements within the space itself are maintained.
    Links to elements in other spaces: no.

  • You copy by folders (because the space exceeds 100)
    Links within the same folder are maintained.
    Links between elements in different folders, even if they are in the same space: no.
    Links to elements in other spaces: no.

  • You copy an individual folder (≤100)
    Links between elements within that folder are maintained.
    Links to elements outside the folder: no.


How to avoid surprises

  1. If possible, copy the entire space (when it is below 100).

  2. If you have to copy by folders, try to ensure that the linked elements reside in the same folder.

  3. After copying, review the sheets or panels that depended on external references.

Examples

  • Sheet A → Report B within the same copied space: maintained.

  • Sheet X (Folder “2024”) → Sheet Z (Folder “Templates”) in a copy by folders: not maintained.

  • Sheet M → Dashboard N from another space: not maintained.


Common questions

Why are external links not copied?

To protect the security of your data and not bother other users with references that are not part of your copy.

Can I restore lost links?

Yes, you can recreate them in Smartsheet or reorganize your content so that the linked elements are within the same copy scope.


How to see these options in Klonup

In the task settings, you will find “Include cell links”. If activated, the above rules will apply depending on what you are copying (space or folders).
