Best practices for your Klonup backups

Practical tips to get the most out of your Klonup backups

  • Run backups at quiet times of the day so they don’t interrupt your work in Smartsheet.

  • Control how many copies you keep: every backup takes space in your account, decide how many to retain.

  • Only enable what you need: turn on filters, forms, cell links or shared permissions only if they’re essential.

  • Do a manual backup first to test your settings before automating.

  • Check that your access key and account location are correct in the klone.

  • Don’t include more than 5 workspaces or folders per task: smaller tasks are easier to monitor and more stable.

  • It is not advisable to configure more than 10 tasks per Klon: the Smartsheet licence could become overloaded if this is not taken into account. Let’s look at it with a quick calculation: 10 tasks × 5 workspaces or folders × 2 copies = 100 workspaces, plus the originals. If you keep more than two backup copies, this number will continue to multiply.

  • Use one or more dedicated licences for backups so you don’t clutter someone’s personal account with extra workspaces.

  • Deactivate or delete old tasks you no longer need.

  • Use roles properly: Administrators create klones and manage users; Backup Managers set up and run backups.

  • Check notifications and history to stay aware of any issues.

  • Make a backup before important changes in your workspaces.
